Call Back Clinic ("we," "our," "the app") is a service that helps medical clinics detect missed phone calls and respond to patients automatically by SMS. This policy explains what information we collect, how it's used, and the choices you and your patients have.

1. Who this applies to

Call Back Clinic is used by clinics, not directly by patients. If your clinic uses our app, you (the clinic) are responsible for informing your patients that missed calls may trigger an automated SMS reply, in line with your local regulations.

2. What information we collect

We do not collect patient names, medical records, or any clinical information. The app only handles phone numbers and call/SMS metadata.

3. How SMS messages are sent

SMS messages to patients are sent directly from the clinic's own phone and SIM card — not through any third-party SMS gateway or aggregator. This means message delivery depends on the clinic's own mobile carrier and SIM balance/plan.

4. Where data is stored

Call records are stored locally on the clinic's Reception Phone. If a clinic has linked a Doctor's Phone, call records are also transmitted to and stored on Call Back Clinic's servers so the doctor can view them remotely. Data in transit to our servers is sent over encrypted HTTPS connections.

5. Data retention and deletion

Clinics can configure how long call records are kept (30 to 730 days) in the app's settings, after which older records are automatically deleted. Clinics can also delete all call records immediately at any time from within the app.

6. Who we share data with

We do not sell, rent, or share clinic or patient data with advertisers or unrelated third parties. Data is used solely to operate the missed-call detection, SMS, and dashboard features of the service for the clinic that owns it.

7. Security

Access to a clinic's data requires a valid license key bound to a specific device. Passwords and PINs used within the app are stored as one-way cryptographic hashes, never in plain text.

8. Your choices

Clinics can enable a PIN lock to restrict access to the app on a shared device, adjust or disable automatic SMS categories at any time, and request account/data deletion by contacting us.

9. Changes to this policy

We may update this policy as the service evolves. Material changes will be reflected here with an updated date at the top of this page.
